Using Dispatch Window
Dispatch Window Buttons:
| • | Edit: Allows you to Edit the currently highlighted trip. You may also double click on the trip to open (edit) trip window. |
| • | Delete: Allows to delete a trip. A log of the reason for cancellation is required which is saved into the Canceled Trip Log and it allows for restoring a deleted trip (as long as a database Index & Pack was not performed from the File menu - Index option) |
| • | Cxld List: Displays deleted (canceled) trips for range of dates displayed. |
| • | Top, Bottom: Go to top trip and bottom trips on the window. |
| • | Prev. Day, Next Day: Go to previous day trips and next day trips. |
| • | Today: List today's trips. |
| • | Drop down calendar: Allows to select a date and display trips for that date. |
| • | Settle: Open trip settle window which you can assign driver and finalize driver payroll. |
| • | Pay: Record payment of a trip. Usually done after a trip is settled. |
| • | Drivers: Opens drivers list which you can use to assign to trip using mouse Drag & Drop to a particular trip, or by double clicking on driver to assign driver to highlighted trip. |
| • | Vehicles: Opens vehicles list which you can use to assign to trip using mouse Drag & Drop to a particular trip, or by double clicking on vehicle to assign vehicle to highlighted trip. |
| • | Totals Cal: Displays a calendar that calculates the following: |
| o | Trip Totals for each day. |
| o | Trip Count for each day. |
| o | Trip Total Tax for each day. |
| o | You can go next and previous month, next and previous year. |
| o | Window can be printed by clicking the Print Window button. |
| • | Notes: Displays notes of trips. If a note is found for a particular trip, the N column will show a check mark. |
| • | # Pax: calculates number of passenger of trips displayed. Use when displaying dispatch by vehicle. |
| • | Tag All: Toggles the selection of trips . When a trip is tagged, the T column shows a check mark. This useful when printing several trips in one print action from the Trip menu. It can also be used with faxing trips using the Print button - Fax option. |
| • | Edit Times (ON/OFF): Toggles whether you are able to edit the trip times on the dispatch window. |
Dispatch Graph:
For the Graph to display bar correctly, you must enter Trip Date, Drop off Date, Pickup and Drop off time. This graph can be used for scheduling.
When a graph is displayed you can may graph trips assigned to drivers and vehicles.
Unavailable drivers and vehicles are shown in a red bar across the graph.
Dispatch Window Print Menu:
You can print trip tickets, single trip invoices, confirmation sheet, dispatch sheets, contracts, etc.
See image. If you wish you might tag only certain trips, and then select your option.
Trip Status:
The S column is the trip Status.
To change the status of a trip, click on the Trip Status button below the trip list. This can be very handy in a multi user environment. Also double clicking on the cell brings the status window. The C is confirmation status of the trip. To edit a trip, you can either double on trip line or click the Edit button. Also double clicking on cell brings up the confirmation window. You may use the Drag and drop operation similar to the Cars and Drivers as mentioned above but you click on Trip Status button at bottom of dispatch window.
Sending Email:
You can email single trip invoices and confirmations to pre-assigned email address or provide the email address you wish to email. Click on the Email button for more options. LimoWiz interfaces and requires Microsoft Outlook or Outlook Express. Make sure you configure it correctly.
You can also email drivers to their Nextel Phones. We recommend model i700 plus or above with Two Messaging Service to prevent the truncation of messages. When the driver gets the message, a notification is send back to the sender. (Note: Nextel model numbers may change)
You need an ISP that supports POP3/IMAP/SMTP, then use Outlook Express or Outlook. If you must use AOL and you have a website of your own, you can use the POP and SMTP mail server of your site. Contact your web hosting company for the POP and SMTP settings to use with.
